The following are common reasons emails may not be delivered to respondents. Please review each item in order. The first two resolve the majority of cases.
- Confirm the required email type is configured in the assessment. Each email type (Welcome, Auto Reminder, Completion, etc.) requires its own email template within the assessment. If a template has not been created for a given email type, the system has no template available to send. Open the assessment, navigate to the Emails tab, and verify that a template exists for each email type required.
- Review the filters configured on the email template (if applicable). Each email template includes optional filters that restrict delivery based on functionalities such as Customer Type and Iteration. These filters are only relevant if the corresponding functionality is in use within the assessment. If your assessment does not use Customer Types or Iterations, no filter configuration is required and this step can be skipped. If you do use these functionalities, open the relevant template and confirm that the filter settings include the respondents you intend to reach. A filter that excludes the intended respondents will prevent delivery, even when the template is present.
- Verify the recipient's email address. Open the response and confirm that the email field is populated and correctly formatted.
- Confirm domain authentication is in place. If emails are sent from your own domain, ensure that SPF and DKIM records have been added to your DNS and successfully verified.
- Check spam and junk folders. Ask the recipient to review their Junk or Spam folder and add your sending domain to their safe senders list.
