Site Settings are used to set the default behavior of the system for you.
There are three Tabs

- Site Name. This field is used for Identification by support only and is non-modifiable. It is usually assigned by you initially when you set up the Trial. If you need it to be changed, contact Brilliants Assessments.
- Domain Name. This field is non-modifiable. Please contact Support if you want to access the product with a different domain name.
- Site Code. used in the Word Manager Addin to identify your site.
- Reset Email Address Fields. Use the button to return to using the default email settings using noreply@brilliantassessments.com
- From Email Address is the email address that the site will send all emails from. It will often be a support or info email address. Note that it is a requirement of spam filter to ensure that emails come from the email server registered to your domain. Therefore the SMTP details set up below must match your email servers details. - SMTP Host. This will be available from your email service provider. If you use Office 365 it is smtp.office365.com, if you use Gmail it is smtp.gmail.com.
- SMTP Port. This will be available from your email service provider. In most cases, it is 587.
- SMTP SSL Enabled. This will be available from your email service provider. In most cases, it is selected.
- SMTP User Name. We recommend that this is the same as your email address. It will be available from your email service provider.
- SMTP Password. This will be your email password, or in the case of Gmail, the application password allocated.
- Timezone. Select your time zone and the times and dates of responses will be shown in that time zone.
- Use Segmentation. Segmentation allows you to have an additional scoring strategy that crosses section and subsection boundaries. Questions can be marked as applicable to any number (or no) segmentations. Ratings can then be reported for the segmentations as well as the sections and subsections. Tick this box if you want to use this feature. Read more on Segmentations.
- Use Business details causes the system to prompt for a lot more detail about a business in the response request, including the address, and you can plot its position on Google Maps to get its Longitude/Latitude.
- Use Status for Response. Obsolete - Do not select.
- Hide Empty Responses. Responses with no name or email address entered and not Started will not show on the responses list or the cohort respondents list. These a usually caused by someone clicking on the shareable link to the assessment (or cohort) and then not answering the response created.
- Section Menu. If selected, the response entry screen will have a section menu to assist in easy navigation around the response. Usually, this is only required when an assessor is using the system.
- Use Release 2020 Reporting. Do not unselect this checkbox! Previous releases are no longer supported.
- Dynamic Cohorts. Only used in complex Cohort environments, this functionality gives the ability to add and remove responses form a cohort. Read more at the bottom of the Cohort Initiations article.
- Show Alternate Report Text. Select to enable additional report text on the answers or ratings. This may be used, for example, to separate positive and negative comments on the report, to feed a summary section in the feedback report with shorter recommendations than for a detailed section, or to show different text on a separate report or a cohort report.
- Has Business Name on Progress. Not available in this version.
- Use Subsections on Assessment – indicates whether subsections are shown on the Section menu, to allow navigation direct to a subsection.
- Show Respondents – Only available if a CRM has been integrated, using the API. Please contact Brilliant Assessments if you wish to use this feature.
- On-Screen Pricing. If selected prices can be loaded for assessment and will be shown for Available Assessments in the respondent Portal or from the Available Assessments List. (Further Details on Available Assessments)
- Certifications Issued. If the system is being used to issue certifications, this checkbox should be ticked. The system manages whether a response meets the certification grade required, prompts (by email) re-sitting failed certifications, and prompts (by email) resitting certifications after they expire (e.g. annually).
- Block Support Access. If this box is selected, Brilliant Assessments support personnel cannot access your site.

Strong Password security. If this box is selected, the following password rules are implemented:
- Passwords must be at least 8 characters, and use three of the four character sets (upper case, lower case, numeric, special characters (e.g. !@#$%&*()+=)
- Maximum of 7 attempts until a 30 minute delay
- Passwords expire after 90 days
- Cannot reuse a password within 10 passwords
- Cohort Initiation. If this box is selected the system activates the Cohort Initiation Functionality. The Cohort Initiation functionality allows you to invite 'subjects' to initiate their own Cohort Feedback Report. They can invite others to assess them, and the Cohort Reporting is used to produce the composite report.
- Enable Allotments. If you sell or allocate responses to partners, enable this functionality
- Allow Respondent Self Registration. Only enable this if you are using the respondent portal, and need to allow respondents to self-register. We recommend you consult with support before enabling this functionality.
- Stripe Keys (Public). If you want to charge respondents for assessments using the system, register with stripe.com and record your keys here. For testing, enter the test keys, when in production, enter your production keys. Read for Details of accessing your Stripe keys at Stripe.com.
- Stripe Keys (Private) - see above
- API Key. This key is required if you are going to use the API to access the system (either directly or via Zapier). Click the + sign for the system to generate a key. Be aware that if you click the + sign again, the system will generate a new key, and any existing integrations will then be invalidated.
- Respondent portal Top Banner colors. Specify the color code for the banner at the top of the respondent portal. Normally this would match the background color of the logo or image you specify for the top of the respondent portal screen (by adding an entry to the graphic table with the type of Respondent Header or Footer). The banners will be the full width of the screen.
- Respondent portal Bottom Banner colors. Specify the color code for the banner at the bottom of the respondent portal
- Default Color. This is the color used by the administration and assessment managers portal. The colors for the response are set on the assessment screen.
- Menu Color. This is the color used by the administration and assessment managers portal for the left hand menu. If it is not specified, the color is the default, dark charcoal
- Suppress Response Ratings. In the Dashboard, do not show the Response Ratings. This would normally only be set if the response ratings are not used in the assessment.
- Suppress Section Ratings. In the Dashboard, do not show the Section Ratings. This would normally only be set if the section ratings are not used in the assessment.
- Suppress Subsection Ratings. In the Dashboard, do not show the Subsection Ratings. This would normally only be set if the subsection ratings are not used in the assessment, for example, there is only one subsection per section.
- Suppress Question Answers. In the Dashboard, do not show the Question Answers. Normally this option wouldn't be taken, it is included for completeness.
- Suppress Segmentation Ratings. In the Dashboard, do not show the Segmentation Ratings. This would normally only be set if the segmentation ratings are not used in the assessment.
- Suppress Respondent Detail. In the Dashboard, do not show the Respondent Level Detail. This would normally only be set if there was a confidentiality requirement.
- Show Average Score Results (rather than %) In the Dashboard, show Likert-style scoring.
- Multi Factor Authentication Type. Obsolete.
Organizations (Partner Portal)

Allow External Organization Creation: If you wish to allow Partners to create their own organization and Select this checkbox. You can then Copy the URL to place on your website or distribute as you wish. You can append an organization encrypted key (from the Organization Edit form) if you want the Organization the partner creates to be a child of a grouping you have specified.
- Tip: Ensure you change the first character on the Organization encrypted key from an & to a ?. The Organization encrypted key is often used where there are multiple parameters (and &org= is the correct syntax), here there is on one parameter (and ?org= is the correct syntax)

Require Organization Level 1-4: (only appears if Allow External Organization Creation is selected.) If you wish the partner to select the grouping their organization belongs to from a drop down list, select the Level that this list is held on. For example, these may be regions or associations they are member of. An extra drop down list will be added to the Partner Portal Self Registration screen.
- If your selection list is other than Level 1, you should use the Organization encrypted key to specify the level above.

Default Resource Allocation: (only appears if Allow External Organization Creation is selected.) Select the Default Resource Allocation for the Organizations Created. The Options are:
- Are Unlimited - this organization can initiate any number of responses.
- Are Allocated - this organization is limited to the responses that have been allocated to it using the Allotments function.
- Can Be Purchased - this organization purchases allotments through the system, using the Allotments function. If the is selected the Response Prices prompt appears - to select the Price records applicable. An organization may have multiple prices available due to date range availability or currencies.
- Pro Tip: if you are creating a child Organization (either by Using Require Organization 1-4 or by specify an Organization encrypted key in the URL) the system can inherit the Allocation rule and Prices from the parent (and potentially the allocation if one exists.) If this behavior is required, leave this field as "Are unlimited".
- Model User: (only appears if Allow External Organization Creation is selected.) THIS IS A REQUIRED FIELD. Select an Assessment Manager with the settings you wish to copy for the user set up by this process. This may be an existing user, or a model set up specifically for this purpose. From that user we copy:
- Assessments they have access to
- Any restrictions specified suppressing access.
- Allow Organization Self-Management: This allows the partner to upload their own branding, Organization Text and the BCC Email address for the organization via an Organization Settings menu item.
- Allow Organization User-Management: This allows the partner to add users to their organization with the same rights as they have. This functionality is accessed via the Organization Settings menu item.
- Allow Organization Classifiers Management: This allows the partners to add and delete classifier values if this is implemented (by at least one Classifier having the Values Set by Organization Checkbox selected). This functionality is accessed via the Organization Settings menu item.
- Allow Organization Roles Management: This allows the select the cohort roles applicable to their organization. This functionality is accessed via the Organization Settings menu item.
- Adopt Response Logo as Portal Logo: If selected the Organization response logo will be used as the Portal Logo.
- Organization Text Types: you can add any number of Organization text types to allow partner-related text to be added to the response (included in Question Instructions) and / or Reports using the Organizational Text merge type. The default text entered here will be used if a response doesn't have an organization specified, or the organization doesn't have text specified. The merge string is {Response.OrganizationText[Text=1]}
Fonts
Fonts can be uploaded to be embedded in Reports. Once uploaded here, they need to be selected on the Assessment Settings to be embedded in the Report PDF. Al reports for the assessment will have the font embedded.
Bullet point 10 in the Assessment Settings help article shows the assessment setting to enable embedding fonts into the PDF.
