Brilliant Assessments supports two types of reminders for incomplete responses: Auto-Reminders, which are sent automatically on a defined schedule, and Manual Reminders, which are sent on demand from the Response List screen. Both can be used together.
Configuring Auto-Reminders
Auto-Reminders are scheduled emails sent to respondents who have started but not completed their response. Most assessments include a default Auto-Reminder email template that should be reviewed before launch.
- Navigate to Assessment Settings > Emails.
- Edit the existing Auto-Reminder template, or click Add New Email and select Auto-Reminder as the type.
- Set the timing. Auto-Reminders can be configured to send a specified number of days after the response is started, or, for cohort assessments, a specified number of days before the completion date.
- Include the
{ResponseLink}merge field in the email body so respondents can resume their response. - Save the template.
To send reminders both before and after a cohort completion date, create two separate Auto-Reminder templates with different timing settings.
Sending a Manual Reminder
Manual Reminders are used to nudge respondents outside of the normal Auto-Reminder schedule. Before sending one, the assessment must have a Manual Reminder email template configured.
- In Assessment Settings > Emails, add a new email template with the type set to Manual Reminder, and include the
{ResponseLink}merge field in the body. - Open the Response List screen for the assessment.
- Click the Send Reminders button.
- Choose the Selection Criteria (Assessment, Group, Cohort, or Organization). The system will send the Manual Reminder template to every incomplete response within the selected scope.
If no Manual Reminder template exists when the reminder is triggered, the system will return a "No Emails Sent" error.
