Brilliant Assessments offer a service for customers of uploading assessments from a spreadsheet. Once the assessment is uploaded, you can then alter it in any way via the Assessment Builder in the usual way.
There are six tabs in the spreadsheet
- One empty tab for the Questions and Answers,
- One empty tab for Ratings, and
- One empty tab for Rating Subsections.
(In addition to the above, there are also 3 tabs containing examples of how to populate the template.)
It is not necessary to complete all three empty tabs, the information can be input into the system directly later.
You can download the spreadsheet template from the bottom of this article. Once you have completed the spreadsheet, please send it to support@brilliantassessments.com with site information.
Please note that we offer 1 free upload per assessment, thereafter there would be a charge of $125USD per additional upload for the same assessment. This service is geared towards larger assessments with at least 100 questions. If the assessment is smaller than this, please build it in the Assessment Builder.
To upload an existing assessment in a different language, follow these steps.
Questions and Answers Tab
These are uploaded from the Questions Template sheet. The Questions Example sheet shows a sample fully completed assessment for review. From this sheet, we create the Assessment, Sections, Subsection. Questions and Answers. Fields that are not commonly used are defaulted but can be changed through the Assessment Builder later.
Columns
Assessment Name. The free format name for the assessment - this will occur on every row of the spreadsheet. You should copy it down rather than rekeying it to avoid slight differences.
Section Name. A section appears as one page on the response. It is important for scoring. The Section name appears as a heading in the response. It occurs on every row of the spreadsheet for the section. The sections will be created in the order they appear, and all the rows for one section must be together.
SubSection Name. Subsections are the third level for scoring, and important for building text on the feedback report. It occurs on every row of the spreadsheet for the Subsection. The subsections will be created in the order they appear, and all the rows for one section must be together.
Question Text as it appears on the response screen. It occurs on every row of the spreadsheet for the Question, one for each available answer.
Question Short Name. Use this field in internal reporting (when you download Assessment Answer data) and on the feedback or cohort report for graphics that are at the question level. For example, if the question was “What is your annual revenue?” the Short Name might be “Revenue.” Also, Smart Question Short Names drive synchronization between the response settings and the answers for passing data like the respondents' names between the two. These are documented in Point 3 of the Add/Edit Questions article. Repeat this text for every row for the Question.
Instruction Text. This text will appear before the Question. By putting it on the first question for the assessment, section or subsection, it can introduce the assessment, section or subsection. You can format the text by including HTML codes, or you can upload it as plain text and format it in the Assessment Builder later. Do not include any Excel New Line characters (Alt-Enter). Repeat this text for every row for the Question.
Potential Points. These are used to calculate the score. Some assessments have all the questions with the same potential score; others weight certain questions by giving a higher potential score and higher proportionate answer scores. Repeat this score for every row for the Question.
Answer Format. These indicate the format of the answers on the response entry screen. Repeat this text for every row for the Question.

Inline– Answers run down the page inline with the Questions. Inline works well for all answer types. They are also a good choice for mobile phones. -
Slider- a slider bar runs across the page underneath the question. Slider bars can be used with numeric or text answers. Answers must have an Answer Type of Single Choice Item. -
Matrix– Answers run across the page. Typically, these are scoring type questions (say 1 – 5) and there are multiple questions. Answer Type of matrix questions is Single Choice Item. As Matrix Questions are difficult to use on a mobile phone, we recommend slider bars for questions like this. -
Ranking– For Ranking questions, the questions are inline, but grouped Ranking questions are where the respondent is asked to rank their top n items from a list in order of preference. (Read more on Ranking Questions)
Answer Text, as it appears on the assessment. If the Answer Type is a TextBox the Answer Text is often blank, but if it is entered it will appear on the response as a watermark.
Answer Text 2 is only applicable to Matrix Questions.
Answer Short Name – is used in internal reporting. Like the Question text we recommend a shortened version of your answer. If your answers are short, just copy them to this column.
Answer Type. Available choices are:

Single Choice ItemA multi-choice where only one answer can be selected. -
Multiple-Choice ItemA multi-choice where more than one answer can be selected. Text Box-
Multi-Line Text BoxA larger text box, allowing for unlimited text. -
Drop Down ItemA dropdown box with all of the answers listed for this question. All the answers to the question would normally be a drop-down box.For Ranking Questions, there should be a drop-down list with the available numbers.

Numeric- whole numbers -
Decimal- a number with decimal points, including currency. -
Content– allows documents and files (of any type) to be attached to the response. -
Image– invokes image capture in the response. If the respondent is using a mobile device, the camera will be available. Otherwise, a picture can be selected from the user's The system includes a cropping tool in the upload process. -
Video– invokes video capture in the response. If the respondent is using a mobile device, the camera will be available. Otherwise, a video can be selected from the user’s computer.
Answer Score. Used to calculate the score. The answer score may have up to 2 decimal places. The answer score divided by the questions potential score determines the score for this question. In the case of a Multiple Choice Item, all of the selected scores are added together. If the total of the answer score for a question is greater than the questions potential score, the potential score is used. See more information on scoring.
Report Text - this column is used to specify the text that appears on the feedback report due to this specific answer selected. For example, if you were asking a company about their Strategic Strategic Plan and this answer was “We don’t have one” you would likely have text presenting the benefits of writing a strategic plan. You can format the text by including HTML codes, or you can upload it as plain text and format it in the Assessment Builder later. Do not include any Excel New Line characters (Alt-Enter).
Rating Tab
To understand Ratings, see this article. If this sheet is not completed, default Ratings will be created, Red, Orange, Green. These can be changed manually if desired.
Columns
Assessment Name. The free format name for the assessment - this will occur on every row of the spreadsheet. You should copy it down rather than rekeying it to avoid slight differences.
Rating The rating name is generally internal to the system.
Maximum Score for this rating. The previous highest score implies the minimum score. If there are no lower maximum scores, this record will apply from 0. This score is always a percentage but entered as a whole number. e.g. 66 = 66%. If you are using Likert scoring convert the Likert score to a percentage. For example, if you had a rating that went to a maximum of 3.5 out of 5 the value would be 70 (3.5 / 5.0) x 100
Rating Text This text is can be used in the report for the overall Rating for the response. You can format the text by including HTML codes, or you can upload it as plain text and format it in the Ratings screen later. Do not include any Excel New Line characters (Alt-Enter).
Rating Subsection Tab
Rating Subsections are used for the feedback report as a summary rating for the questions in the subsection. You only need to complete this sheet if you are using text at that level.
Assessment Name. The free format name for the assessment - this will occur on every row of the spreadsheet. You should copy it down rather than rekeying it to avoid slight differences.
Rating The rating name from the Rating Sheet
Section Name The Section that the SubSection belongs to.
SubSection Name The Subsection this text is for.
Rating Text The text to appear on the feedback report for this subsection/rating. You can format the text by including HTML codes, or you can upload it as plain text and format it in the Assessment Builder later. Do not include any Excel New Line characters (Alt-Enter).
Uploading an existing assessment in a different language
Use this method of upload to ensure the assessment across different languages has the exact same structure. Having the same assessment structure allows you to combine multiple assessments for reporting and benchmarking if needed.
What to do:
1. Copy your assessment.
2. Download the "assessment structure" report on the copy. See Standard Report.
3. Get the updates done on that spreadsheet, ensuring that the three columns on the right-hand side are not deleted (We use the numbers on the right to upload the data).
4. Once you have completed the spreadsheet, please send it to support@brilliantassessments.com with site information.
5. Note that the rating texts are not updated using this process. They will have to be updated through the assessment builder/settings.
