This article walks through how to send a manual reminder to responses that haven't been completed, including setting up the required email template and triggering the reminder from the Response List screen.
A manual reminder is sent from the Response List screen and is used to prompt respondents whose responses are still incomplete.

1. Create a Manual Reminder email template
Before you can send a manual reminder, the assessment must have an email template with a type of Manual Reminder.
- Add the template. Go to Assessment Settings > Emails > Create a new email template for the assessment and set its type to Manual Reminder. See Choosing the Right Email Template for how to add this email type.
-
Include the response link. Add the
{ResponseLink}merge field to the template body. This inserts a direct link to the respondent's response so they can resume where they left off.
Note: If no Manual Reminder template exists for the assessment, the system will return a "No Emails Sent" error when you try to send a reminder.
2. Send the Manual Reminder from the Response List screen
Manual reminders are sent to responses that haven't been completed. You can target them at the Assessment, Group, Cohort or Organization level.
- Open the Response List screen for the assessment.
-
Click the Reminders button. This opens a dialogue box showing the available actions across all responses.
-
Choose Create Manual Reminders. Select the scope (Assessment, Group, Cohort or Organization). The system will send the Manual Reminder template email to every response in that scope that hasn't been completed.
Tip: Manual reminders are sent in addition to any automated reminders you've configured for the assessment. Use them when you need to nudge respondents outside the normal reminder schedule.
Updating the requested completion date
The Reminders dialogue also lets you update the requested completion date for a Group. This field is used for Cohorts - the system updates all responses and all Cohort Initiations for the specified Group. As well as being a date that can be shown on emails as a closing date for the cohort, it also drives the production of the automated cohort report.
