Themes are created and managed at the assessment level, in the Assessment Builder. This article covers the screens you use to manage the Themes in your assessment - maintaining their rating text and their linked questions or answers. To create Themes and Theme Groups in the first place, see Setting up Themes. Themes were previously called Segmentations.
Themes can be linked to questions or answers in either the Questions dialogue or here in the Themes screens. A Theme cannot be linked to both questions and answers, but you can have a mix among different Themes.
On this page
1. Themes list (All Themes)
To access your Themes, click the Themes button in the Assessment Builder, then open the All Themes subtab. The list shows every Theme in the assessment, its number, its Theme Group(s), and the number of questions or answers it is linked to.
| Element | Description |
| Theme Groups / All Themes | The two subtabs of the Themes page. Theme Groups manages your groups; All Themes lists every Theme in the assessment. |
| Add Theme | Opens the Theme add/edit screen to create a new Theme. |
| Theme list | Each Theme shows its name, number, Theme Group(s), and the number of questions or answers it is linked to. |
| Edit | Opens the Theme add/edit screen, where you set the groups and color and use the Ratings and Questions/Answers tabs (documented below). |
2. Theme edit - Ratings tab
Open a Theme and select the Ratings tab to maintain the rating text that appears in reports when a rating is attained.
| Element | Description |
| Theme, No., Groups, Color | Set at the top of the Theme add/edit screen. See Setting up Themes. |
| Rating Type | Only appears if Advanced Ratings is enabled. You can maintain rating text for any of the Rating Types you have defined. |
| Rating (tabs) | A separate tab is available for each rating you have specified (for the selected Rating Type, if applicable). Text is held separately for each rating. |
| Rating Text | Up to 5 rating texts can be entered for each rating. Separate texts are often used in different parts of reports or on separate reports. This field is only available if "Show Alternate Report Texts" is selected in the Settings form. |
| Save RatingText | If you are changing multiple texts, save each one before moving to the next. Otherwise, changes will be lost. |
| AI Build | Generates draft rating text for the Theme using AI, which you can then review and edit. |
| Text Editor Toolbar | Standard formatting tools (bold, italic, underline, alignment, lists, links, images, tables, HTML view, and clear formatting). |
| Merge Fields | Used for Question and Answer Piping. Select the answer text or report text type, choose the question, then click Add to insert the merge string at the cursor location. |
| Text | Enter the text to be shown on the report if this rating is attained. |
Tip:
- If you copy and paste text from Word or another application, always use the Clear Formatting button in the toolbar first, then reformat within the text editor. Copied text often contains hidden formatting that can cause display issues.
- The initial formatting of rating text in your report is determined by the merge string's formatting in the Word template. Formatting applied here in the text editor will override that.
3. Theme edit - Questions or Answers tab
These tabs show the questions or answers linked to the Theme. Use the Questions tab to link whole questions, or the Answers tab to link individual answers. A Theme is linked to either questions or answers, not both.
| Element | Description |
| Questions or Answers | Choose the Questions tab to link whole questions, or the Answers tab to link individual answers. If the Theme has no links yet, both tabs are available. Once a link is created, only the linked type remains available. |
| Linked Questions or Answers | List of currently linked questions or answers. Use the Remove link to unlink one from the Theme. Both the Theme and the question remain intact - only the link is removed. |
| Add Questions or Answers | Select the Section, Sub Section, and Question (and Answer, on the Answers tab), then click Add to link it to this Theme. |
