There are two options for linking your assessment to your website:
Option 1-Creating a URL that links straight to a new response. This takes your respondent to the first page of the assessment. Optionally they may be taken to a payment page first.
Option 2-Linking to your Available Assessments screen. Use this option when you want your respondent to be taken to a landing page with a list of your available assessments. You can also list a price for each assessment if needed.
Tip: When sharing your assessment via an external link, respondent details are not preloaded into the response settings like they are when you send email invitations. To capture this information, add fields such as First Name, Last Name, and Email Address to your first page (Section 1) and link each question to the corresponding Response Setting.
This ensures respondent details are automatically stored against the response record. Collecting the email address on the first page is especially important, as it triggers the system to send the Welcome Email when the respondent saves their progress. Learn how to link questions to response settings here.
Option 1-Linking straight to a response
Use Option 1 to create a link that allows:
People to follow the link on your website or social media page.
An open link that can be forwarded to anyone by email or otherwise.
These are the steps:
Step
Instruction
1. Enable “Auto Create Responses”
On the "Assessment Settings'' screen tick the checkbox for "Auto Create Response".
2. Enter a code into the External ID field
Then enter any code in the External ID field. This will show in your URL.
-The External ID cannot have any spaces in it - but you can have a dash (-) e.g.Assess-Me.
-The External ID cannot have more than 50 characters.
-Important: Ensure that you only have one version of the assessment with this External ID - otherwise the system may pick up either.
This option is available to identify where the responses came from by adding an Organization encrypted key:
To add the Organization encrypted key to your URL, type: &org=, then copy and paste your organization encrypted key.
To find the encrypted key go to organizations>edit> then copy and paste the encrypted key
Classifier ID
This option is available if you want to specify the Classifier as a parameter on your URL:
To specify the classifier as a parameter on your URL, you add the following: &classifiers[0].key=aaaaa&classifiers[0].value=bbbbb
Where aaaaa is the name of the classifier, and bbbbb is the value you want assigned.
In the scenario you would need to specify more than one classifier, you would add (example for two below): &classifiers[0].key=aaaaa&classifiers[0].value=bbbbb&classifiers[1].key=ccccc&classifiers[1].value=ddddd
aaaaa is the name of the first classifier, and bbbbb is the value you want assigned; ccccc is the name of the second classifier, and ddddd is the value you want assigned
The Classifier must be marked as Admin Entry and you can have two or more parameters specified.
We recommend avoiding classifiers with spaces in them as they are not normally allowed in a URL, and if you or your clients are copying and pasting them a lot of tools will break the URL at the space.
NB. The syntax of URLs when you have multiple parameters is for the first parameter to have a /? before it and subsequent parameters to have an & before it (with no spaces in either case).
Option 2- Linking to the Available Assessments screen
You can link to an Available Assessments screen from your website. This screen will list all of the assessments you have available. Optionally it can also list a price for each assessment, and take the respondent into credit card processing before initiating the response. This functionality is dependent on you setting up a credit card account with stripe.com.
Use the questions below to troubleshoot common issues with external assessment links.
+ Why are responses not being created when someone clicks
the external link?
This is most likely because Auto Create Response is not enabled. This setting is required
for external links to work.
Go to Assessment Settings.
Tick the Auto Create Response checkbox.
Click Save.
+ Why do I have many empty responses in my Responses
list?
Because Auto Create Response is enabled (which is required when sharing the assessment via
an external link), a response is automatically created each time someone clicks the external assessment link - even if
they don't go on to answer any questions. This is why you may see a number of open or empty responses in the
Responses list.
How to manage empty responses:
Option 1: Hide empty responses
You can hide unanswered responses from the Responses list without deleting them:
Go to Site Settings.
Open the Design tab.
Enable the Hide Empty Responses checkbox.
Click Save.
This keeps your Responses view clean while still allowing external sharing to work correctly.
Option 2: Delete old unanswered responses
If you'd prefer to remove them entirely:
Go to Responses.
Click the Delete Responses button.
Choose to delete unanswered responses older than a selected number of days.
This permanently removes unanswered responses from the system. Both approaches
are commonly used, depending on whether you want to simply hide or fully clean up empty responses.
+ Why is the Welcome Email not being sent?
If the Welcome Email is not being triggered when a respondent completes the first page, check the following:
The Email Address question must be on the first page (Section 1) of
the assessment. The Welcome Email is triggered when the respondent saves the first page, so the email field needs to
be there.
The Email Address question must be linked to the Email Address Response Setting. Go to
the question's Options tab and select Email Address from the Link to
Response Setting dropdown.
Ensure the Welcome Email template is set up and enabled in your Email Templates
settings.
+ Can I use the same External ID for multiple
assessments?
No. Each assessment must have a unique External ID. If more than one assessment shares the
same External ID, the system may pick up either one, leading to unpredictable results. Always ensure your External ID
is unique across all your assessments.
+ Why is my external link not working?
If your external link is not working, check these common causes:
Auto Create Response is not enabled - this must be ticked in Assessment Settings for
external links to create responses.
Spaces in the External ID - the External ID cannot contain any spaces. Use a hyphen (-)
instead (e.g. Assess-Me).
External ID is too long - the External ID cannot have more than 50 characters.
Duplicate External ID - ensure only one assessment uses this External ID.
+ Can I track which website or campaign a response came
from?
Yes. You can append parameters to your external link to identify the source of a response:
Organization ID - add &org= followed by the organization's encrypted
key to tag responses to a specific organization.
Classifier - add classifier parameters to your URL (e.g.
&classifiers[0].key=source&classifiers[0].value=website) to tag responses with custom tracking
values.
