Linked Responses in Brilliant Assessments connect specific assessment questions to response record fields like name, email, organization, or other user-specific data.
Linked Responses sync data between your assessment and the system's stored user information.
What Linked Responses Do:
Prepopulate Fields
When someone starts an assessment, linked questions can automatically fill in with known data (like their name or email), making things faster and easier for the user.
Keep Data Fresh
When a user answers a linked question, the system updates the corresponding field in their response record.
Simplify Shared Link Responses
Even if someone takes an assessment through a shared/public link, their data can still be captured or referenced using linked responses.
Enable Hidden Fields & Logic
Linked fields can be hidden from the user but still used to control logic or display different content (like showing different pages based on the user’s organization).
Tell the system where to send the Feedback Report
Linked fields can be hidden from the user but still used to control logic or display different content (like showing different pages based on the user’s organization).

How to Set Up Linked Responses in Brilliant Assessments
Identify the Response Fields You Want to Link
Determine which response record fields (e.g., name, email, organization) you want to auto-fill or keep updated through the assessment.
Open the Question You Want to Link
- Navigate to the specific question in your assessment that should be linked to a response field. This is usually done on the Welcome Page but can be used anywhere as needed.
- Click on the "Options" tab for the selected question.
Select the Response Setting to Link
- From the available options, choose the response field (e.g., name, email) that matches the purpose of the question.
- This creates a mapping between the answer to this question and the corresponding field in the response record.
- Once linked, if an administrator creates a response record, matching questions will be pre-populated when the assessment is started.
- This improves efficiency and accuracy for repeat or known users.
Hide the Question (Optional)
- You can choose to hide the question from the respondent if it’s being used only for logic (e.g., iteration tracking). When enabled, the respondent can not change the answers.
- Hidden questions still function normally behind the scenes and can be referenced in Conditions or other components.
Test Your Assessment
- Preview the assessment to ensure that:
- The linked fields are prepopulating correctly.
- Hidden questions are behaving as expected.
- Data is syncing back into the system appropriately.
Deploy and Monitor
- Publish or share the assessment (even via a shared link).
- Monitor response records to see if the data is updating and syncing as intended.
Note: You no longer need to ensure the Question Report Name mirrors the table below, as long as you have the 'Link to Response Setting' specified from the dropdown selector:
Questions Linked to Response Settings
| Assessment Question | Linked Response Field | Notes / Additional Info |
|---|---|---|
| Your name | Respondent Name | |
| First name | First Name | |
| Last name | Last Name | |
| Business name | Business Name | |
| Email Address | Email Address | Used to email the report to the respondent. |
| Customer Type | Customer Type | Syncs with the Customer Type field in Response Settings. The Answer Report Name must match the code in the Lookup Table. |
| Organization L1 | Organization Level 1 | Syncs with Organization Level 1 in Response Settings. Answer text must exactly match the organization structure. |
| Organization L2 | Organization Level 2 | Same as above |
| Organization L3 | Organization Level 3 | Same as above |
| Organization L4 | Organization Level 4 | Same as above |
| Organization L5 | Organization Level 5 | Same as above |
| Iteration | Iteration | Used to identify which iteration the response belongs to (e.g., for tracking purposes). |
| Assessor | Assessor | For Assessor functionality. Assessor-only questions rely on a linked question. "Assessor" and "Respondent" must be set as Answer Report Names. |
| Role | Report Identifier | Matches role of person completing the response. Used to control conditional questions based on role. |
| Iterations | Iteration | Answer Report Names must match defined iterations. Useful for making questions conditional on iteration. |

Other information:
-
- Assessor Functionality: you can read more about this here: Assessor Functionality – Brilliant Assessments.
- Role: The role is then often used to separate subsequent questions that are intended for the subject from people assessing the subject using the Conditional Question functionality, you can read more about this here - Useful Tips for Setting up Your 360 Assessment – Brilliant Assessments.
- For Cohorts If "Subject" is used and the Answer Report Name is Subject First Name or Subject Last Name then the subject's name will be synchronized. (This is often used to show the Subjects name in subsequent questions using Question Piping - Using Question and Answer Piping – Brilliant Assessments)
- Classifiers, specified on the Options tab, also bring data into the response.
