You can give respondents access to the system through a Respondents Portal. This is not the recommended approach because it gives you a support overhead (with people having issues due to lost passwords, etc), and inviting people to complete an assessment by email and emailing them their report is "low maintenance".
The exception to this is if you have set up SSO (single sign-on) - in which case the respondents are created automatically.
Note: The Respondents Portal is for single respondents only, Cohort Initiations and Reports are not available through this interface.
Respondents Portal - Available Assessments
- The color scheme for the respondent's portal is set in the Site Settings. The logos are uploaded via the Graphics function as Respondent Header and Respondent Footer.
- The Assessments tab lists Incomplete Assessments (if any), complete with a link to complete them, and available assessments.
- The list of available assessments is maintained in the Assessments Availability function. Full details of the options are documented there.
Respondents Portal - Reports
The reports tab lists completed responses for this user and provides a link to generate the reports.
Setup for the Respondent Portal
- Select the Assessments you wish to make available in the Assessments Availability function. Full details of the options are documented there.
- Setup the color scheme for the respondent's portal in the Site Settings and upload the logos via the Graphics function as Respondent Header and Respondent Footer.
- You can automatically transfer the respondent to the portal login screen on completion of their response by selecting Take User To Respondent Portal in the Assessment Settings (general tab)
If SSO is implemented, that is all that is required. Otherwise also:
- Create an Email Template of the type of Respondent Welcome with your branding and wording
- Add Users with a type of Respondent. Tick the send invite to send the email.
- You can allow self-registration by selecting Allow Respondent Self Registration in the Site Settings. This is generally not recommended because of the inability to qualify registrations.
