This guide explains how to upload completed responses. This allows for the upload of legacy data including answer‑level imports, giving you the ability to create prior iterations, and cohorts from previous systems.
This functionality would normally be used to populate benchmarks and prior iterations only.
Responses uploaded using this method will not be counted towards your subscription usage unless:
- They are resaved using the finish button on the response screen.
- Their report is generated/printed as an individual response.
Step 1: Navigate to the Response List screen
From the main menu, go to Responses, then select Response List.
Step 2: Download the Completed Responses CSV template
Click CSV Template and select Completed Responses. This template contains columns for response-setting and answer‑level data.
Step 3: Fill out the Completed Responses template
The template includes columns for every question as well as response setting data. The system uses the Question Report Name as the heading for each question. If the assessment is set up for Cohorts, Cohorts will be generated based on data prompted for in this CSV (e.g. if you add a Subject name, Iteration Number).
Tips for filling out the template
- Enter one completed response per row
- Enter the corresponding Answer Report Names into the cells of select-type answers, and the text for text answers.
- It is not possible to upload content files.
- Leave cells blank if you don't need them.
The columns available to fill out are:
- OrgL1
- OrgL2
- OrgL3
- OrgL4
- OrgL5
- Group Name (only if Group Name is in use)
- Cohort Completion Date (only if Assessment settings Cohort Type is selected)
- Contact / Subject Email (only if Group or 360, Group= Contact Email, 360 = Subject Email)
- Subject First Name (only if 360) Subject only if Group))
- Subject Last Name (only if 360)
- Iteration Number (only if Assessment settings Cohort Iterations are in use)
- Role (only if Assessment settings Cohort Type is selected)
- First Name
- Last Name
- Email Address
- Business Name
- Customer Type (only if at Customer Type in use)
- All Question Report Names - not repeating any that are set up to Link to Response Settings for any field above.
Save the file in CSV format. Use UTF‑8 encoding if the data contains non‑Latin characters.
Step 5: Upload the Completed Responses CSV
Return to the Response List screen, click Upload, and select Completed Responses. Choose your completed CSV file and upload it.
Step 6: Validation and processing
The system validates the file before import. If errors are found, the upload will stop, and an error file will be returned for correction.
If validation succeeds, the completed responses are created with their associated answer data and become available for reporting, cohorts, and benchmarks.
Completed responses uploaded via CSV do not count toward subscription usage unless the response is later resaved using the Finish button or its report is printed individually.
Step 7: Confirm the upload
You can now verify that the imported responses appear correctly. If cohorts or iterations were included, check cohort reports and results pages to confirm the data is linked as expected.
