Having an email template on the assessment with the type of "Cohort Report" drives the production of the report. You can view more about email templates here: Email Templates
Each night the system reviews all cohorts for the following:
- does the cohort have a Cohort Feedback email template and
- does the cohort have a cohort report attached to the assessment and
- the cohort is on or past the completion date (but not more than two months) and
- the cohort has met the minimum number of responses specified on the cohort (if not specified then it must be specified against the roles) and
- the cohort has met the minimum number of responses for each role specified on the assessment roles (if not specified then this must be specified against the cohort) and
- the system hasn't sent an email (and report) using this email template for this cohort before...
The system will then create the cohort report and send it to the email address specified on the cohort settings.
PRO TIP: Remember when updating these settings, that any cohorts completed within the last 2 months could become eligible for the automated cohort reports.
